1) High-level summary

  • We do not sell personal information and we do not monetize customer data through advertising.
  • We do not use third-party ad trackers on the Website.
  • The Service necessarily processes information you (and your organization) provide to manage endpoints (for example, device inventory and deployment/audit events). We only use that data to provide, secure, and improve the Service.

2) Scope

This Privacy Policy applies to information we process when you:

  • visit the Website;
  • contact us (sales/support); or
  • use the Service as an admin user or as an organization.

It does not apply to third-party websites or services we do not control.

3) Roles: Customer vs. SoloAdmin

For the Service, your organization (the "Customer") typically determines what endpoint and user data is uploaded and how it is used. In many cases:

  • Customer is the data controller (or business) for "Customer Data"; and
  • SoloAdmin is a data processor (or service provider) that processes Customer Data to provide the Service.

4) Information we collect and process

A) Information you provide (Website)

If you submit a sales or support form, we process:

  • name;
  • email;
  • company (if provided);
  • requested node name / tenant identifier (if provided);
  • endpoint count estimates (if provided);
  • message contents (if provided);
  • anti-spam verification token (if enabled).

B) Admin account and authentication information (Service)

To provide login and access control, we process:

  • admin identity details (for example: name, email address, unique identifiers from your SSO provider);
  • organization/tenant membership and roles;
  • access logs related to authentication.

C) Customer Data processed in the Service

Depending on Customer configuration and use, the Service may process:

  • endpoint identifiers (device name, device ID, assigned groups);
  • hardware/OS details (OS version, build, patch status);
  • installed software inventory;
  • job/deployment metadata (what was deployed, when, and the result);
  • audit log events (admin actions and timestamps);
  • package metadata and package repository content that Customer uploads or manages.

Important: The Service is designed to manage endpoints. If Customer uploads sensitive personal data or regulated data into the Service, that data will be processed as Customer Data.

D) Automatically collected technical information

We (and our hosting providers) may collect limited technical information to operate and secure the Website and Service, such as:

  • IP address and user agent;
  • request timestamps;
  • error logs and security logs.

5) How we use information

We use information to:

  • provide and maintain the Service;
  • authenticate users and enforce access control;
  • process deployments and show inventory/audit history;
  • respond to sales and support requests;
  • secure the Website and Service (fraud prevention, abuse detection, incident response);
  • comply with legal obligations.

6) How we share information

We share information only in limited situations:

  • Service providers / subprocessors that help us operate the Service (hosting, email delivery, support tooling, payment processing). They may process information only to provide services to us under contract.
  • Legal and safety: to comply with law, enforce agreements, or protect rights and safety.
  • Business transfers: in connection with a merger, acquisition, or sale of assets (with appropriate safeguards).

Current key service providers

Depending on how you interact with the Website and Service, we may use these providers:

  • DigitalOcean (hosting infrastructure for the Service)
  • Intuit QuickBooks (invoicing and payment administration)
  • Microsoft 365 (business email and collaboration services)

We may use additional providers for email delivery, support tooling, and monitoring as the Service evolves.

7) No sale of personal information

SoloAdmin does not sell personal information.

We also do not share personal information with third parties for their own direct marketing purposes.

8) Cookies and tracking

We do not intend to use third-party advertising cookies or trackers on the Website.

The Service may use first-party cookies or similar technologies necessary for authentication and security.

9) Data retention

We retain information only as long as necessary to:

  • provide the Service;
  • meet contractual obligations;
  • comply with legal requirements; and
  • resolve disputes and enforce agreements.

Customer may request deletion of Customer Data subject to technical and legal constraints. Some data may remain in backups for a limited period.

10) Security

We use administrative, technical, and organizational safeguards designed to protect information, including access controls and encryption in transit where appropriate.

No method of transmission or storage is 100% secure.

11) International transfers

If we transfer information internationally, we will use appropriate safeguards as required by applicable law.

12) Your choices and rights

Depending on your location, you may have rights to access, correct, delete, or export personal information.
